Why a Pre-Submit Checklist Beats Guessing
Most resume rejections happen before a human ever reads a single line. Applicant tracking systems — ATS for short — parse, score, and filter resumes automatically. Candidates who don't account for both formatting and keyword alignment are leaving the decision to chance. This ATS resume checklist closes that gap: twelve concrete checks, organized into formatting hygiene, keyword alignment, and scoring signals, completed in one pass before you hit submit.

Points 1–4: File Format and Parsing Hygiene

Point 1 — Submit the Right File Type
Use .docx or a clean, text-based PDF. Avoid Mac Pages exports (they produce non-standard PDF encoding), graphics-heavy InDesign saves, and anything generated from a scanned image. Scanned documents are images, not text — the parser reads nothing.
When in doubt, open your PDF in a plain text editor. If you can select and copy the text cleanly, parsers can read it. If the text looks garbled or nothing highlights, your file has a problem.
Point 2 — Remove Tables, Text Boxes, and Multi-Column Layouts
ATS parsers linearize document content — they read left to right, top to bottom, ignoring visual layout signals. A two-column resume that looks clean on screen often parses into a scrambled string of words that pulls skills into the job title field and dates into the summary.

The second version is what parsers — and human reviewers — actually need.
Point 3 — Use Standard Section Headers
ATS systems match resume content to predefined fields: work history, education, skills, certifications. If your header says "Where I've Been" instead of "Work Experience", many systems won't know which field to populate. Use the labels that field-mapping logic expects:
- Work Experience (not "My Journey" or "Career Highlights")
- Education (not "Learning & Development")
- Skills (not "What I Bring")
- Certifications (if applicable)
Point 4 — Check Font Size, Margins, and Contact Placement
Use a 10–12 pt readable font (Calibri, Arial, or Georgia all work). Keep margins between 0.5 and 1 inch. Critically: never place your name, email, or phone number exclusively in a document header or footer. Many parsers skip those regions entirely — contact information placed there simply disappears from the parsed output.
Points 5–8: Keyword Alignment With the Job Description
Formatting gets your resume through the parser. Keywords determine your score. This is where most candidates leave points on the table.
Point 5 — Extract Exact-Match Keywords From the JD First
Before you touch your resume, read the job description and pull out three categories:
- Hard skills and tools — software names, programming languages, platforms, methodologies
- Certifications and credentials — PMP, CPA, AWS Certified, Series 7, etc.
- Job titles and function labels — the exact language the employer uses (e.g., "Revenue Operations Analyst," not just "operations")
Write these down. This keyword gap list drives every edit you make next.
Point 6 — Match Terminology Precisely, Not Approximately
If the job description says "cross-functional collaboration", your resume should say "cross-functional collaboration" — not "worked across teams," "partnered with departments," or "collaborated with stakeholders." ATS systems generally match strings, not synonyms. Close isn't good enough when the score depends on an exact hit.
This matters especially for tool names and certifications. "MS Excel" and "Microsoft Excel" may or may not be treated as equivalent depending on the system. When the JD specifies one form, use that form.
Point 7 — Cover Hard Skills, Soft Skills, and Credentials Separately
ATS systems often score these in different fields. A resume that lists ten hard skills but no leadership language won't score well for a management role that weights both. When you build your keyword gap list, sort terms into buckets — technical, interpersonal, and credential-based — and confirm your resume addresses each category.
Point 8 — Embed Keywords in Context, Not in a Keyword Dump
Pasting a long list of skill terms into a footer is no longer effective. Many modern ATS engines weight keyword placement: a term inside an experience bullet carries more scoring value than the same term in a standalone skills list, because context signals demonstrated competency rather than self-reported familiarity.
Instead of:

Anti-fabrication note: Only surface keywords tied to experience you actually have. If a JD uses different language to describe work you genuinely did, reframe it in that language. Never invent tools you haven't used, credentials you don't hold, or results you didn't achieve. Fabricated content is dishonest — and it typically unravels in interviews.
Points 9–12: Scoring Signals Recruiters and Systems Both Weight
These four points move your score with both the automated system and the human reviewer who reads the resumes that clear the filter.
Point 9 — Quantify Impact Wherever Possible
Numbers give parsers and human readers a concrete signal. Compare:
- "Improved onboarding process" → vague, low signal
- "Reduced new-hire onboarding time by 30%" → specific, high signal
You don't need a number for every bullet. But for your most important contributions, express scope, scale, or result: dollar amounts, percentages, team sizes, time savings, or volume metrics.
Point 10 — Order by Recency and Relevance
Your most recent role should appear first — that's standard. More importantly, the role most relevant to the target JD should carry the highest keyword density and the most detailed bullets. Don't bury your strongest evidence under a dense description of unrelated work.
Point 11 — Audit Your Contact Section
Missing or malformed contact information can reduce your parsed profile completeness. Confirm you have all five elements:
- Full name
- Professional email address
- Phone number
- LinkedIn URL (customized, not the default string of numbers)
- City and state (add country if applying internationally)
Location matters because many ATS filters include geographic screening.
Point 12 — Re-Score After Edits, Not Before
This is the step most candidates skip. Making changes is not the same as proving those changes helped. After editing, run the resume through the same scoring process you used at baseline — so you can see whether keyword gaps actually closed and whether formatting changes registered correctly.

Common Mistakes That Survive Most Checklists
Even candidates who run some version of a resume check routinely miss these.
Submitting the same resume to every role. A resume optimized for one job description is not optimized for a different one, even within the same industry. Keywords, required credentials, and job-title language vary by employer. Tailoring isn't optional — it's the mechanism by which keyword alignment actually works.
Optimizing for keyword count while ignoring parse order. An ATS doesn't just check whether a keyword exists; it considers where that keyword appears and in what context. Terms buried in a skills section at the bottom score lower than the same terms woven into relevant experience bullets near the top.
Trusting a visual review alone. A resume can look polished — clean design, readable layout, professional font — and still fail parsing if the underlying structure is broken. A two-column PDF looks great on screen. It often parses into noise. You cannot catch this with your eyes.
Relying on self-assessment to decide "good enough." Most candidates don't know their resume's score relative to the specific job they're applying for.
